Aegrotat consideration

If you are unable to attend your end of course exam, or you sat your final exam and think that your performance was impaired due to injury, illness, trauma or an exceptional circumstance beyond your control, you may apply for aegrotat consideration.

Eligibility

  • Aegrotat considerations only apply to your ability to sit your end of course exam on the day of the exam.
  • You cannot apply for aegrotat consideration if you have been unable to study or prepare for the exam.
  • An aegrotat consideration is only available where the course contributes to an Open Polytechnic award; applications for an enrolment under a Certificate of Proficiency will not be accepted.
  • The aegrotat consideration process is not available if you have previously failed that examination and are resitting the exam (a Resit enrolment).


Reasons for applying

The types of circumstances that may be considered when applying for an aegrotat are:

  • serious short-term illness or recent injury
  • recent bereavement
  • other specific circumstances outside your control.
  • Please give us as many details as you can in your application so that we can understand your specific circumstances and how they have affected you.
    • Provide evidence that supports your situation which may include:
    • medical certificates
    • death certificates
    • newspaper death/funeral notices
    • a statement from a funeral director
    • police or legal documents
    • email attestations made by others – please provide these people’s contact details and let them know we may contact them to verify the information they have provided.


To be awarded an aegrotat pass:

  • The circumstances for your application must be clearly unforeseen and unexpected.
  • Programme regulations apply
  • You must also meet the criteria specified in section 11.6 of the Open Polytechnic Academic Statute (PDF, 467KB, opens in new window). 
    This includes a limit to the number of permitted aegrotat passes as outlined in section 11.4:
    (a) A maximum of 20 credits at Level 7.
    (b) No more than one aegrotat pass in a programme of less than 120
    credits; or
    (c) Up to 20 credits in a programme of 120 credits; or
    (d) Up to 40 credits in a programme of 121 to 240 credits; or
    (e) Up to 60 credits in a programme of 241 to 360 credits

Note: If your evidence is not available when you submit your application, please email it to resultsandexams@openpolytechnic.ac.nz and include your Student ID number in the email.  Your application will be placed on hold until this information is submitted.

What happens to your application

  • You will receive a copy of your form on submission.
  • Applications are kept confidential.
  • Your application, supporting documents and eligibility are reviewed by Academic Registry.
  •  If needed, we may verify that your supporting evidence was issued by the issuer.
  • If further information is needed, we will contact you by email.


How we assess your application and processing times

  • If you meet the eligibility criteria, the Results and Awards Committee will review your request for an aegrotat consideration.
    • An aegrotat pass is granted where the applicant is clearly worthy of a pass, taking into consideration the relative performance in the exam of other students with similar course pass marks.
    • All course assessment results need to be marked before determining eligibility.
    • We cannot confirm you meet the criteria before the Results and Awards Committee meet and make their decision.  
  • After the Results and Awards Committee meeting, we will send you an email advising you of your aegrotat consideration outcome and you will receive a final result notification. You can check your grade on your MyOP dashboard.  


Further information

If your aegrotat consideration application is approved, you will be awarded an aegrotat pass. This is an ungraded pass.

If your aegrotat consideration application is declined, you will receive a failing grade. 

If you applied for an aegrotat consideration due to impaired performance, and you passed the examination, no further action will be taken.  Applying for impaired performance does not increase your overall exam mark.

If the course for which you’ve applied for an aegrotat pass is a prerequisite course and your aegrotat is declined you will be withdrawn from the course you applied for.
